Terms of Service

1. Acceptance of Terms

By accessing or using FreightVox ("the Service"), you agree to be bound by these Terms of Service ("Terms") and our Privacy Policy. If you are using FreightVox on behalf of a business or organization, you represent that you have the authority to bind that entity to these Terms.

If you do not agree to these Terms, do not use the Service.

2. Description of Service

FreightVox is a SaaS (Software as a Service) platform that provides AI-powered email automation tools for freight brokers. The Service includes:

• Inbound email classification using artificial intelligence
• AI-generated draft responses for freight-related communications
• Shipment tracking and management tools
• Team collaboration features for email review and approval
• Analytics and usage reporting

Certain features are labeled "Coming Soon" and are not yet available. We make no commitment to a specific delivery timeline for these features.

The Service requires an active internet connection and a compatible web browser. FreightVox does not guarantee compatibility with all browsers or operating systems.

3. Accounts and Registration

To use FreightVox beyond the public demo, you must create an account by providing a valid email address and password. You are responsible for:

• Maintaining the confidentiality of your account credentials
• All activity that occurs under your account
• Notifying us immediately of any unauthorized account access at hello@freightvox.com

You may not share your account with others or create accounts for the purpose of abuse or circumventing usage limits. One subscription covers your organization — team members can be invited within the same account.

4. Subscription and Billing

4.1 Plans

FreightVox offers two plans:

• Free Plan: $0/month — 10 AI-handled emails per month. No credit card required.
• Pro Plan: $25/month — Unlimited AI-handled emails, all features included. No feature tiers or upsells.

4.2 Billing Cycle

Pro subscriptions are billed monthly on the date you first subscribed. Billing is processed securely through Stripe. By subscribing, you authorize FreightVox to charge your payment method on a recurring monthly basis.

4.3 Price Changes

We reserve the right to change subscription pricing. If we increase prices, we will notify you by email at least 30 days before the increase takes effect. Continued use of the Service after a price change constitutes acceptance of the new pricing.

4.4 Free Plan Limits

The Free plan includes 10 AI-processed emails per calendar month. Emails received after the monthly limit is reached will not be processed by AI until the next billing period. You will receive a notification when you are approaching your limit.

6. Acceptable Use

You agree to use FreightVox only for lawful purposes in connection with legitimate freight brokerage operations. You must not:

• Use the Service to send spam, unsolicited commercial messages, or communications that violate CAN-SPAM, GDPR, or other applicable laws
• Attempt to reverse-engineer, decompile, or extract the source code of FreightVox
• Use the Service to transmit malicious software, viruses, or any code designed to damage systems
• Attempt to gain unauthorized access to FreightVox infrastructure, other user accounts, or third-party systems
• Use automated tools to scrape, crawl, or extract data from the Service beyond normal usage
• Impersonate another person or organization
• Use the Service in a way that violates any applicable law or regulation
• Resell or sublicense access to the Service without written permission

Violation of this section may result in immediate account suspension without refund.

7. Data Ownership

7.1 Your Data

You own all data you bring into FreightVox — including email content, shipment records, and customer information ("Your Data"). By using the Service, you grant FreightVox a limited, non-exclusive license to process Your Data for the purpose of providing the Service.

7.2 AI-Generated Content

Draft responses and other AI-generated content are produced on your behalf. You own any content that FreightVox generates for you through the Service and are responsible for reviewing it before use.

7.3 Aggregate Data

FreightVox may use anonymized, aggregated usage statistics (e.g., "X% of check call emails are approved on first draft") to improve the Service and for marketing purposes. This data cannot be linked back to any individual or organization.

7.4 Data on Account Termination

Upon account deletion, your data will be purged from our active systems within 30 days. Certain data may be retained in backups for up to 90 days before permanent deletion. Billing records are retained for 7 years as required by law.

8. Intellectual Property

FreightVox and its underlying technology, branding, interface design, and documentation are owned by FreightVox Inc. and protected by intellectual property laws. These Terms do not grant you any rights to our trademarks, trade names, or logos.

You may not reproduce, distribute, or create derivative works from FreightVox content without our written consent.

9. Disclaimer and Limitation of Liability

9.1 Service Disclaimer

FreightVox is provided "as is" and "as available" without warranties of any kind, express or implied. We do not warrant that:

• The Service will be uninterrupted or error-free
• AI-generated draft responses will be accurate, complete, or suitable for any particular use
• The Service will meet your specific business requirements

You are solely responsible for reviewing AI-generated responses before sending them. FreightVox is a drafting aid — final communication decisions remain with you.

9.2 Limitation of Liability

To the maximum extent permitted by law, FreightVox's total liability to you for any claims arising from your use of the Service shall not exceed the amount you paid to FreightVox in the 12 months preceding the claim.

FreightVox shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to: lost profits, lost revenue, lost data, damage to goodwill, or the cost of substitute services — even if we were advised of the possibility of such damages.

10. Account Termination

10.1 Termination by You

You may terminate your account at any time by contacting us at hello@freightvox.com or by using the account deletion feature in Settings. Upon termination, your right to use the Service ceases immediately.

10.2 Termination by FreightVox

We reserve the right to suspend or terminate your account without prior notice if:

• You violate the Acceptable Use policy (Section 6)
• Your payment fails and is not resolved within 7 days
• We reasonably believe your account is being used fraudulently or in a way that harms other users
• We discontinue the Service (with 30 days advance notice)

If we terminate your account for reasons other than violation of these Terms, we will refund any prepaid subscription fees on a pro-rated basis.

11. Changes to Terms

We may update these Terms from time to time. When we do, we will update the "Last updated" date above and notify registered users by email at least 14 days before material changes take effect.

Continued use of the Service after the effective date of changes constitutes acceptance of the updated Terms.

12. Governing Law

These Terms are governed by the laws of the State of Delaware, United States, without regard to conflict of law principles. Any dispute arising under these Terms shall be resolved through binding arbitration under the American Arbitration Association's Commercial Arbitration Rules, unless you opt out within 30 days of account creation by emailing hello@freightvox.com.

Nothing in this section prevents either party from seeking injunctive or other equitable relief in a court of competent jurisdiction.
